The monthly report: what's in it

The monthly report is the one place your studio's month is summarised in full. It's what you send your accountant, and it's what to open when you want to know how a month actually went rather than how it felt.

What's in it

For the period you pick, the report covers:

  • A revenue summary
  • Payment-method and category breakdowns — where the money came from and what it was for
  • Visit counts by class type, and by Group vs Private / Duet / Trio
  • A per-client summary
  • Cancellations and no-shows
  • Outstanding unpaid items — what's still owed

You can also see the underlying counts: how many payments, appointments, new packages, cancellations and no-shows, and unpaid items are behind each figure.

Picking a period

The report isn't only monthly, despite the name. You can run it for:

  • One monthYYYY-MM, e.g. 2026-04
  • A full yearYYYY, e.g. 2026
  • Year to date

Getting the numbers vs getting the file

There are two different things you might want.

Just the numbers. Ask Becky. She reads the same report the page and the PDF are built from, and she reports the figures as they are rather than recalculating them. "What was revenue last month," "how many private visits in March," "what's still unpaid" — she can answer directly.

The actual file. Open the Reports page for the right month. Download PDF and Email both live there.

Generating a PDF or emailing the report sends a real file to a real inbox, so those buttons stay with you. Becky won't send a report and won't tell you one was sent.

Common questions

The numbers look off compared with what I remember. Check whether your payment sync is up to date — the report warns you when its data may be stale. A gap in detected payments will show up here before it shows up anywhere else.

Can I email it straight to my accountant? Yes, from the Email button on the Reports page for that month.

Is this the same as the analytics on my dashboard? No. The report is one accounting period in full detail. Analytics covers trends over several months — revenue, client growth and retention, attendance and utilisation.
