Milestone celebrations

A milestone is a class that marks a moment for a client: their first week, their first month, their 10th, 50th or 100th class, or a year with the studio. BookYourMat counts every client's classes for you and tells you when a milestone is coming, so you can make a fuss of them in person.

Everything here lives on the Milestones page (Clients → Milestones).

How classes are counted

A client's count is every class they came to, plus any classes from before you moved to BookYourMat (set on their profile under Studio history). Cancelled bookings and no-shows never count. Two bookings at the same date and time count as one class.

The count is worked out fresh each time, so if a client cancels a booking, their later bookings move up a number straight away.

The milestone switches

Under Visit milestones you choose which thresholds to celebrate and what each one is called ("the 100 Club" instead of "100 visits"). Below the first-week and first-month boxes are four switches. Press Save celebrations after changing any of them.

  • Count past classes nobody marked (on by default). A past booking that wasn't cancelled or marked a no-show counts as a class, so studios that never take attendance still count properly.
  • Day-before heads-up (on by default). The day before a booked milestone class, the client gets a short email and a note in their portal inbox, so they know it's coming. Each client gets it once per milestone.
  • Anniversaries (on by default). Celebrates "1 year with us", and each year after that, on the anniversary of a client's first class.
  • "Almost there" for lapsed clients (off by default). On Mondays, a client who has stopped coming and is 1 to 3 classes short of their next milestone gets a friendly nudge to come back.

The heads-up, anniversary and "almost there" messages only reach clients while Send milestone celebrations is on. While it's off, BookYourMat still records every milestone, and you still see them on the page, in your digest and in Studio Mode, but no client is messaged.

Seeing who's coming up

Upcoming milestones (next 14 days) on the Milestones page lists every booked class that will be a client's milestone: the day, time, client, class and which milestone it is. Recent celebrations below it shows the ones already reached.

Your daily digest adds the same list for today and tomorrow, for example "Tomorrow 9:00 AM — Eran T., 100th class (take a photo!)".

You can also ask Becky: "who has a milestone coming up this week?" or "who is almost at their 50th?". She reads the same list and never messages anyone from it.

Celebrating in Studio Mode

When an instructor runs class in Studio Mode, every client card shows their class number. A milestone class gets a highlighted card with a "100th visit today — celebrate!" badge (with your own name for the milestone), and the top of the class lists who is celebrating.

The camera button on the badge opens the phone's back camera so the instructor can photograph the client. Before saving, they can tick:

  • Client agrees we can share this photo (journal, social). Leave it unticked unless the client has said yes.
  • Use as profile photo.

After a milestone photo, Send congrats with photo texts the picture to the client with a short congratulations. It goes once per client and milestone, only while Send milestone celebrations is on, and only to clients who have agreed to receive texts. If the text can't go, the instructor sees why. Once the photo has been sent this way, the automatic celebration message for that milestone isn't sent as well.

Milestones in your weekly journal

The weekly journal draft mentions the past week's milestones. Milestone photos the client agreed to share are offered as images on the Blog tab, and clients are named by first name and last initial only. Photos without that agreement are never used.
