Two kinds of information live on a client record: notes you write for yourself, and health information that instructors need to see before someone gets on a reformer.
Admin notes
A note appends a dated, attributed line to the client's existing notes. It never overwrites what's already there, so the history stays intact and you can see who wrote what and when.
Notes are internal. They're never shown to the client and never sent to them. Write what's actually useful — "prefers the far reformer," "always runs ten minutes late," "asked about privates in March."
Health intake
Health intake gets recorded from what the client actually tells you, usually in reply to a welcome text or a portal message. It captures:
- Whether they have limitations — including an explicit "no, none"
- An injury description — an injury, pain, or a pregnancy note instructors should know about
- A mobility description
- Experience level — one of new, returning, intermediate, or experienced. "Never done it" is new; "did it years ago" is returning.
What you get from that:
- Visible condition chips for real injuries and mobility limitations
- The experience level as a chip instructors see before class
- A read-only "No injuries / limitations reported" chip when the client explicitly says they have none — which is different from, and much more useful than, an empty field
Where to find it
Health and injury information lives on the client's own record:
Clients → open the client → Edit details → Health & safety tab → Known conditions
The same chips also surface for instructors on the Home today-schedule right before class, and inline on the client's row.
There is no top-level "Health" tab. There never has been. If you're hunting for one, you're looking for the client's record.
Common questions
A client's reply is vague — "my knee's been a bit funny." Ask before you record it. An ambiguous reply written down as a condition is worse than no record, because an instructor will act on it.
They mentioned the injury while also rescheduling. Only the health part belongs here. A message purely about scheduling, payment, cancellation, or logistics isn't intake.
Can I edit a chip later? Yes — same place: Clients → the client → Edit details → Health & safety.
