Adding your first clients

Getting your people into BookYourMat is usually the first real step after your schedule exists. This article covers adding them and editing them afterwards.

Adding a client

A client needs a name. Email and phone are optional — but they matter, because a client with a reachable email or phone is sent a portal invite when you add them. That's why adding a client asks you to confirm first: it's not a silent record, it's a message to a real person.

You can dictate or paste a list ("add Jane Doe, jane@example.com") and add them one by one. Before you add someone, search for them — a second record for a person who already exists causes more trouble later than it saves now. See finding and merging duplicate clients if it's already happened.

If you're creating demo or test people to try things out, keep them clearly labelled and leave the email and phone blank so nothing goes out to a real inbox.

Editing a client profile

Later, you can change a client's:

  • Name, email, and phone
  • Payment exempt — this client isn't charged
  • Pays cash — flags them as a cash payer
  • Booking blocked — stops them booking

Only include what's actually changing, and confirm you've got the right person first — names repeat.

Troubleshooting

I changed a phone number and it was rejected. Phone edits are refused if the number collides with your studio's on-call number. Use a different number for the client.

I want to opt a client out of texts — can I do it here? No. Profile editing never touches SMS or email opt-in. Consent is handled separately, on purpose, so it can't be flipped by accident while you're fixing a typo in someone's name.

The client says they never got their portal link. Resend it — a fresh link doesn't invalidate the old one. See resending a client's portal link.
