Refunding a card payment

When a client was charged by mistake, or you want to give money back, refund the card payment from BookYourMat. The money goes back through Stripe, and the session or package that payment paid for is updated at the same time, so your books match what happened.

Where to find it

  • Payments → All: open the card payment's ⋯ menu and choose Refund to card….
  • A client's payment view: a drop-in paid by card has a Refund… button next to the payment.
  • Becky: ask "refund Sam's $155 card payment". She shows you what will happen and waits for you to press Apply.

What the refund window shows you

Before anything is sent you see the amount (the full charge by default; type a smaller number for a partial refund), the card it goes back to, and exactly what happens:

  • Full refund: the session it paid for goes back to unpaid. If the client has a free credit on a package or membership that covers that class, the credit picks the session up straight away, and the window tells you which package. A package bought with the payment stays on the client's account with its credits, but shows as unpaid. Expire it from the client's profile if she shouldn't keep the credits. Studio credit the payment created is taken back.
  • Partial refund: only money moves. The session or package stays paid.

Nothing happens until you press Refund. Refunds usually reach the card in 5–10 business days and can't be undone.

What can't be refunded here (yet)

  • Cash, Venmo, Zelle, PayPal and checks. Give that money back the way it came in.
  • Membership invoices. Refund them from your Stripe dashboard for now. Refunding doesn't change the membership, so check it afterwards.
  • A payment that was partly studio credit. Refund the card part from your Stripe dashboard and adjust the credit by hand.

A refund made in your Stripe dashboard still shows up in BookYourMat, and a full refund there updates the session or package the same way.
